  1. Develop an overall plan for Academic Support Services – the committee should provide an overall plan for the academic support services which includes resources management and maintenance, delegation of staff, resource allocation, etc.
  2. Ensure all academic resources are adequate to meet the academic requirements – the committee ensures that all resources which includes computer laboratory, computers, servers, network, books, software, printers, photocopiers etc. are sufficient to meet the academic requirements of the staff and students.
  3. Ensure that all academic resources are in good working condition through maintenance, upgrades or replacements – the committee ensures that all resources are working which includes computers, servers, network, software, printers, photocopiers, etc.
  4. Propose, collect and consolidate academic resources requirements (books, software, printers and photocopiers, servers, network resources and infrastructure, software, computers, etc.) – the committee proposes collects and consolidate requirements from its staff and academic departments and centers.
  5. Regular review on the effectiveness, adequacy and appropriateness of teaching and learning resources, and facilities – the committee monitors whether the teaching and learning resources are utilized as per its intended purpose
  6. Propose ways on the effective and efficient use of teaching and learning resources, and facilities – the committee proposes ways on how to improve the effective utilization of the teaching and learning resources
  7. Prepare action plan and annual report of the committee – each team needs to prepare an action plan and annual report while the committee collects all action plans and annual reports of the teams and consolidates them to produce the committee action plan and annual report
  8. Prepare, maintain and disseminate appropriate academic support related documents and reports – the committee prepares report for all academic support related reports which includes computer laboratory and its resources, maintenance and upgrades, inventory, servers and network, books, software, photocopy and print, etc.
  9. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC and CIQAC as evidences
  10. Provide technical (includes consultation), lab assistance, and helpdesk services – the Academic Support Team provides technical and lab assistance, and helpdesk services (which includes individual password distribution and id printing, etc.) to staff and students of ICT.
  11. Provide invigilators on examinations, placement tests and other lab activities – the Academic Support Team plan and assign invigilators to examinations, placement test and other lab related exams
  12. Monitor the utilization of computer laboratories and its resources – the Academic Support Team monitors the utilization rate of each computer lab, consolidate utilization rate of all computer laboratories and provides a report
  13. Provide teaching support when needed – the Academic Support Team plans and assigns staff for teaching support
  14. Ensure that all library resources are aligned with the program requirements – the Library and SAC ensure that all its resource are aligned with the program requirements
  15. Provide library services – the Library and Self-Access Center are open to provide library services
  16. Provide design, print and photocopy services – the Publishing Center designs, print and photocopy materials by the college
  17. Provide and maintain network requirements of the college – the Server and Network Team ensures that 24/7 network connectivity for the college (includes backup server if in case something happens to the Primary Domain Controller)
  18. Provide security on the server and network of the college – the Server and Network Team ensures that the network connection is secure
  19. Develop and maintain software – the Software team develops software for the college and maintain them

  1. Ensure staff awareness on college and center services, human resource and staff development related policies – the committee ensures staff members are aware of college and center services, HR and staff development related policies, as well as related information like grievance, severance, etc.
  2. Prepare action plan and annual report of the committee – each team needs to prepare an action plan and annual report while the committee will collect all action plans and annual reports of the teams and consolidate them to have one committee action plan and annual report
  3. Prepare and maintain ETC Staff and Staff Support related documents and reports – the committee prepares report for all ETC Staff and Staff Support related reports which includes staff profile, staff requirements, induction, performance appraisal, staff development programs, severance, grievance, retention, etc.
  4. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC or CIQAC as evidences
  5. Plan, maintain and monitor staff related services and activities such as profile, requirements, assignments/timetable, induction, mentoring, staff handbook, organizational climate, grievance, retention, severance, and relationship with other education providers and other professional bodies and industries and Omanisation – the Staff and Staff Support Team plans and maintains staff profile, staff requirements based on specialization, staff assignments/timetable, induction, mentoring, grievance, retention, severance, relationship with other education providers and other professional bodies, and Omanisation
  6. Ensure that tasks assigned to staff are carried out – the Staff and Staff Support Team needs to monitor and ensures that all tasks assigned to staff are carried out
  7. Feedback collection and analysis on staff related services such as induction, organizational climate, grievance, severance, etc. as well as for HR related policies – the Staff and Staff Support Team collects and analyzes feedback results on staff related services such as induction, grievance, severance, etc. as well as HR policies
  8. Plan, maintain, disseminate, monitor and implement staff development related services and activities such as staff development policies, performance appraisal, development programs, training, staff activities, awards, participation on professional bodies, other educational providers, the community, etc. – the Staff Development Team plans, maintain and ensures the implementation of staff performance appraisal, staff development programs and training linked with appraisal results and need analysis, staff activities, staff awards, and staff participation on professional bodies, other educational providers, the community, etc. and staff development related policies
  9. Feedback collection and analysis on staff development related services such as appraisal, development programs, training, activities, awards, participation on professional bodies, etc. – the Staff Development Team collects and analyzes feedback results on staff development related services such as staff appraisal, staff development programs and training, staff activities, staff awards, staff participation on professional bodies, etc.

Plan, maintain, disseminate and implement student and student learning related services such as training, induction, and e-learning – the committee plans, maintains and implements student training, student induction (which includes bulk password distribution and id printing) and the use of e-learning to all courses offered
  2. Feedback collection and analysis on student and student learning related services such as training, induction, grievance and e-learning – the committee collects and analyzes feedback results on student training, student induction and e-learning
  3. Prepare action plan and annual report of the committee – each team needs to prepare an action plan and annual report while the committee will collect all action plans and annual reports of the teams and consolidate them to have one committee action plan and annual report
  4. Prepare, maintain and disseminate appropriate student and student learning related documents and reports – the committee prepares and maintains student and student learning related reports which includes student training, student induction and e-learning
  5. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC or CIQAC as evidences
  6. Monitor the utilization of e-learning (Moodle) – the Learning Support Team monitors the e-learning (Moodle) if it is effectively utilized
  7. Review and propose new e-learning technologies – the Learning Support Team reviews and proposes new and better e-learning platform

Prepare, maintain and disseminate appropriate project and resource management related documents and reports – the committee prepares and maintains project and resource management related reports which includes requirement analysis, purchase, tenders, hardware maintenance, resource checking, resource allocation, auction, acquisition, replacements and upgrades, etc.
  3. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC or CIQAC as evidences
  4. Propose, collect and consolidate college resources requirements (other than academic related) from various departments and centers – the Project Management Team proposes, collects and consolidate requirements from its staff and academic and non-academic departments and centers which may include consumables, health and safety, security, etc.
  5. Prepare tenders and analysis of consolidated college resources requirements (academic and non-academic) from the various departments and centers – the Project Management Team prepares tenders and analyzes the proposals from the supplier / company on the college resources requirements (academic and non-academic).
  6. Monitoring implementation of approved projects – the Project Management Team monitors the implementation of projects and allocation of resources.
  7. Review of previous approved projects – the Project Management Team reviews the previous approved projects for verification and follow up on pending projects
  8. Check and maintain college resources (non-academic) and ensure that they are in good working condition – The Hardware Team ensures that college resources (non-academic) such as biometric, CCTV, security devices, etc.
  9. Maintain a complete and accurate inventory record of all college resources (academic and non-academic) – the Resource Management Team maintains a complete, updated and accurate inventory of all college resources.
  10. Check and verify the physical resources with the inventory records – the Resource Management Team ensures that inventory records corresponds to the physical resources situated throughout the different departments/centers of the college
  1. Coordinate with college and the community with regards to their activities and plans – the committee coordinates with college, including departments and center and the community with regards to their activities and plans in using the college resources such as function halls, etc.
  2. Provide support to college activities and community engagements such as function halls, event resources and technical expertise – the committee supports college activities and community engagements in the form of use of function halls, event resources and technical expertise
  3. Feedback collection and analysis on supported college activities such as and community engagements – the committee collects feedback and analyzes feedback results on the college activities and community engagements support provided
  4. Propose equipment needed for event management – the committee proposes equipment that will be used for supporting college activities and community engagements
  5. Check and maintain event equipment and ensure that they are in good working condition – the committee ensures that equipment used for event are in good working condition
  6. Maintain an archives of different media (photos and videos) – the committee maintains an archive of photos and videos taken from the different college activities and community engagements
  7. Ensure media coverage of major college activities – the committee ensures that major college activities are covered by media
  8. Sharing of Resources (academic and non-academic) – the committee is responsible for sharing resources with the community
  9. Prepare action plan and annual report of the committee – each team needs to prepare an action plan and annual report while the committee will collect all action plans and annual reports of the teams and consolidate them to have one committee action plan and annual report
  10. Prepare, maintain and disseminate appropriate college activities and community engagement related documents and reports – the committee prepares and maintains college activities and community engagement related reports such as student induction, media coverage, participation of public and private sector and the community, etc.
  11. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC or CIQAC as evidences
  1. Maintain QA awareness among staff of the center – the committee ensures that staff of the center are aware of the different important center QA documents and reports
  2. Monitor the activities of the center/committees – the committee monitors and the activities of the committees and a report is submitted to HoC
  3. Oversee the implementation of QA related activities in the center – the committee ensures that the QA related activities in the center are implemented
  4. Oversee, monitor and implement quality measures and propose improvements – the committee ensures that quality measures are implemented throughout the center and proposes improvements
  5. Coordinate with and support the Quality Assurance Department for quality assurance related activities – the committee coordinates with a nd support the QA Department for QA related tasks
  6. Participate on the review of the Strategic Planning of the college - the center participates in the review of the strategic planning which includes Vision and Mission, Goals, Graduate Attributes, College Values, etc.
  7. Prepare, maintain and disseminate important annual documents and reports such as Operational Plan, Assessment Report, Action Plan, Action Plan Monitoring/Progress Report, Annual Report, Strategic Plan Achievement Report, and other QA related documents / reports – the committee prepares and maintain the different important QA documents / reports of the center like Operational Plan, Assessment Report, Action Plan, Annual Report, Strategic Plan Achievement Report, etc.
  8. Prepare action plan and annual report of the committee – each team needs to prepare an action plan and annual report while the committee will collect all action plans and annual reports of the teams and consolidate them to have one committee action plan and annual report
  9. Prepare, maintain and update Committee Terms of Reference (ToR) - the committee prepares and maintain the terms of reference (ToR) of each committee and ensure that it is updated whenever necessary
  10. Maintain a copy of QSMs – the committee keeps a copy of the different QSMs of the center and ensures that they are reviewed and updated
  11. Collect and submit necessary/pertinent reports/documents to HoC, QA Department and QD, when required – the committee submits a copy of important QA documents/reports to HoC, QA Department and Quality Department when required
  12. Propose, review, disseminate, collect and analyze feedback results on policies and procedures for the college and center – the Data Collection Team and the Policy Management Team proposes, reviews, collects feedback and analyzes results on policies and procedures of the college, center and its supports services and ensures that center staff are aware of all these policies
  13. Feedback collection and analysis on college operation and support services provided by the center – the Data Collection Team collects and analyzes feedback results on all the support services provided by the center
  14. Plan and implement internal audit on committees, computer laboratories and other work areas of the center – the Internal Audit Team plan internal audit on committees, computer laboratories, and other work areas under the supervision of the center which also include reports and analysis
  15. Prepare and monitor center risk management plan – the Risk Management Team collects and consolidates risks identified by the committees and prepare a risk management plan to mitigate all the risks identified, which include feedback and analysis of result
  16. Plan and implement occupational health and safety activities – the Health and Safety Team plans, and oversees work-related health and safety activities such as proposal of health and safety equipment, seminars and training on health and safety, feedback on health and safety awareness and implementation and analysis, etc.
  17. Plan and implement benchmarking activities which includes monitoring and implementation – the Benchmarking Team plan for benchmarking activities which includes identification of areas needed for improvement, selection of reputed institution for benchmark, analysis and implementation of the benchmark activities.
  18. Coordinate with other committees on feedback collection and analysis – the Data Collection Team coordinates with other committees for the collection and analysis of satisfaction survey for each activity of the other committees.
  1. Ensure version and document control in all the reports and documents of the center – the committee ensures that all documents of the center follows a uniform format with version and document control

  3. Collect, prepare, maintain, update, disseminate and monitor appropriate documents and reports related to communication and core functions of the center which includes meeting related documents (i.e. minutes, decisions, tasks assigned) and archives – the committee collects, prepares, maintains and updates all documents of the center related to communication and core function of the center which also includes archiving, bilingual translation of documents, meeting agenda and minutes, etc.
  4. Provide timely information to center and college administration when needed – the committee provides timely information to center and college administration when needed
  5. Submit necessary report to HoC and Center Internal Quality Assurance Committee – the committee will keep the original report/document with signature and submit a copy to the HoC or CIQAC as evidences
  6. Provide services for messaging and social media – the Messaging Services Team ensures that messages are sent to stakeholders of the college through whatsapp and social media
  7. Provide a platform for posting and announcements, and college forms – the Posting Services ensure that announcements and notifications are posted for staff and students to see on notice boards, TV displays among others. The College Forms Team also ensures that all college forms are available through the website or SharePoint.
  8. Maintain and update information in the Website – the Website Team ensures that the college website information is valid, updated, relevant and timely.
  9. Publish center newsletter and magazine – the News and Magazine Team published the center’s newsletter and magazine.
  10. Plan and provide means/modes of communication – the committee ensures the provision of appropriate means/modes of communication
